How to Set Up an AI Agent for WhatsApp: A 5-Step Guide for Small Businesses

What to prepare, how to go live, what it costs, and where it still needs a human.

An AI agent for WhatsApp is software that reads your customers' messages and replies on its own: it answers questions about your prices and services, asks a few questions to understand what the person wants, and books an appointment or hands the chat to your team. It works at night and on weekends, when most missed enquiries happen. This guide shows how to set one up in five steps, what it costs, and what it should not be trusted with.

Before you start: what to have ready

  • Your business WhatsApp number (the one customers already message).
  • Your price list or service list, opening hours and address, in plain text.
  • A list of the 10 questions customers ask most, with the answers you give.
  • The days and times you take appointments, if you book them.

You do not need a developer. The preparation is writing down what you already tell customers, which is the part that decides how good the AI is.

Step 1: Choose a platform that includes the AI agent

Many WhatsApp tools charge extra for AI or reserve it for higher plans. Check three things before you pick: whether the AI agent is included in the plan you will actually use, how many AI replies you get each month, and whether the platform adds a mark-up on WhatsApp's own message charges. With ChatFlow, the AI agent is included on every plan, including the free one, and message charges from Meta are billed to you directly with no mark-up. See the pricing page for what each plan covers.

Step 2: Connect your WhatsApp Business number

AI agents run on the official WhatsApp Business API, so your number has to be connected to it. ChatFlow guides you through this during onboarding, so you do not have to set it up separately first. Plan for this step to take longer than the others if your number is new to the API, because it involves WhatsApp's own checks.

Step 3: Teach it your business

Paste in the notes you prepared: prices, services, hours, location, booking rules and your top 10 questions. Write short, factual sentences. If your price depends on something, say what it depends on. The AI answers from these notes, so anything you leave out is a question it cannot answer well. Also tell it what it must never do, such as promising a discount or quoting a price that is not in your notes.

Step 4: Set the handoff rules

Decide when a human takes over: an angry customer, a refund or complaint, a custom quote, or any question the AI cannot answer from your notes. A good agent hands over politely and tags the chat, so your team sees the context. For appointments, give it your available times so it books only slots you can actually keep.

Step 5: Test it like a customer, then go live

Message your own number with real questions in the way customers write them, including short messages, typos and your local language. Ask something that is not in your notes and check that it hands over instead of inventing an answer. Fix gaps by adding to your notes. Then go live, and for the first week read the conversations every day.

What it costs

What an AI agent should not do alone

  • Handle complaints, refunds or angry customers. A person should.
  • Quote custom prices or make promises that are not in your notes.
  • Read attachments such as images or documents. Ask customers to describe what they need in text, or let your team look.
  • Replace your review of the conversations. Read them regularly and keep improving your notes.

Frequently asked questions

Do I need the WhatsApp Business API to run an AI agent?

Yes. AI agents run on the official WhatsApp Business API. With ChatFlow, connecting your number to the API is part of onboarding and you are guided through it, so you do not set it up separately first.

Does the AI agent cost extra?

On ChatFlow the AI agent is included in every plan. The Free plan has 100 AI replies a month, Solo (₹999/month) has 500, and Team and above have unlimited AI replies. Prices exclude 18% GST.

Does ChatFlow add a mark-up on WhatsApp message charges?

No. WhatsApp message charges are billed by Meta directly based on your volume and message category. You pay ChatFlow only the subscription.

Can I try it before paying?

Yes. Every new workspace gets a 30-day free trial with full access, and after the trial the workspace stays on the Free plan unless you choose a paid plan.

What if the AI does not know the answer?

It should hand the conversation to a person instead of guessing. Keep your knowledge notes up to date and check the conversations it could not answer, then add those answers.
